#### What does the 'Avoid Duplicates' option do?

When 'Avoid Duplicates' is enabled in the configuration set-up, PieSync only syncs contacts that have an email address. We use the email address as the main identifier for a contact in order for us to prevent creating duplicates and to match and enrich contacts where possible in both applications.

#### What happens when the 'Avoid Duplicates' option is switched off

If the 'Avoid Duplicates' option is switched off we won't be able to double check if contacts that don't have an email address already exist in the receiving app, as such we might be creating duplicates.

That's why we would always recommended to keep this option switched on. If you do want to switch this option off then it is always recommend to first:

*   clean up your database
*   create a backup

#### How do I disable the 'Avoid Duplicates' option?

As a precaution we don’t allow users to disable this setting themselves because PieSync may not be able to reverse a sync and KWCommand does not have a way of restoring contacts either.

## Authorizing Bookeo

When you click **'**Authorize Bookeo**',** a pop-up window appears asking you to log in and allow access.

If you already authorized Bookeo account(s) in the past or in any other PieSync integration, you'll be able to skip the first part of the authorization and choose from your **CONNECTED ACCOUNTS**.

Even more, Bookeo requires you to reuse a previous authentication. They only allow you to install a certain application once. In some cases this can lead to the below error upon authentication.

In most cases this can be avoided by choosing an existing Bookeo account inside PieSync (as mentioned above). In case there is a specific reason why you cannot do this, you can taken the following action inside your Bookeo app:

1.  Go to Account (top right) --> Applications
2.  Click on the application called "PieSync"
3.  Click on the "Uninstall" button as shown on the below screenshot (and confirm this on the subsequent popup)
4.  Try to authenticate Bookeo from within PieSync again

Do note that taking this action **implies that** **any other PieSync integrations you might have running will cease to work**.

## Default Field Mapping

Depending on the other app you're syncing with, you'll see a number of standard Bookeo fields being mapped by default. For instance, in a connection with Google Contacts, the default field mapping looks like this:

<InfoBox>PieSync syncs the default name field(s) that come with the apps. Sometimes they have a different structure in both apps you connect. E.g. first and last names are separate in app A and joint in a single field in app B. In the background, PieSync joins first and last names together from app A to B and separates them again from app B to A. Our algorithm is smart about which part it updates in app B.</InfoBox>

## Customizable Field Mapping

You can custom map your Bookeo Custom Fields and any additional standard fields that aren't included in the default mapping yet. Bear in mind a mapping between two fields can only exist if the types of fields are compatible, and the particular compatibility will determine the direction of the mapping as well. Currently, there are no Bookeo integrations on the PieSync platform that support our [deletions sync](/help/features/syncing-deletions/).

### Syncing Unsubscribes

Currently, there are no Bookeo integrations on the PieSync platform that support our [unsubscribes sync](/help/features/syncing-unsubscribes/).

<InfoBox>The availability to Sync Unsubscribes/Deletions is app and connection dependent. If the box is not there to tick, it's simply not possible. We need to be able to detect unsubscribes/deletions on one side and at the same time be able to create add the tag 'PieSync Unsubscribes' or ‘PieSync Trash’ on the other side. How to set up specific apps, what rules are available and mapping overviews

Supported Apps

At PieSync we feel it is important that our end-users are aware of these attention points with regards to proper deployment of self-hosted applications.

## Terms & Conditions (T&C)

### Users connecting self-hosted applications agree to the following T&C:

*   The **version** of the self-hosted application will be kept up to date with the one of the partner-hosted application. PieSync will do its best to keep backward compatibility with older versions, but cannot be held accountable in case an old version leads to some unexpected API behavior.
*   The self-hosted domain will be exposed in a secure way. **Non-https domains will not be accepted**.
*   The infrastructure of the self-hosted application has to be able to deliver acceptable **API** **performance** (normal response times, limited time-outs, high availability, etc).  
    In the interest of maintaining stable syncs for all its users, PieSync has the right to stop - or at least reduce capacity for - a sync of a customer in case it is seriously underperforming. We will inform the customer when we do this and look for solutions.
*   As PieSync has no experience with - and cannot be fully aware of - the exact infrastructure setup of the self-hosted application, the PieSync **support** team cannot be held responsible for debugging basic connectivity issues with self-hosted applications.  
    We recommend an IT administrator of the self hosted application to set up PieSync in this case. The PieSync support team will obviously try to help out where possible (as we do for our other users).
*   Users cannot hold PieSync accountable if their data was sent to an unintended recipient due to **wrong input when specifying** **the target domain**.  
    PieSync will assure that some malicious domains are automatically being blocked, but cannot guarantee a full coverage against all malicious domains.

### Definitions

_**self-hosted application**_**:** Under self-hosted applications PieSync considers all applications that are not hosted directly on the domain of the partner application.

For example you want to integrate with the application "My Favorite CRM", which is on the domain myfavoritecrm.com. In that case all applications which are not hosted on myfavoritecrm.com are considered self-hosted applications by PieSync. This can be any of the following:

*   An application i**nstalled on your own PC** (but still connected to the internet)
*   An application **hosted by yourself on a cloud server** (for instance on Amazon Web Services)
*   An application **hosted by an external cloud hosting provider** (for instance on the domain myfavoritecrm-hosting.com)

_**partner-hosted application**_**:** Under partner-hosted applications PieSync considers all applications that are hosted directly on the domain of the partner application. These applications are considered stable by PieSync, and run the latest version of the software.

## FAQ

### Why does PieSync impose additional Terms & Conditions (T&C) for self-hosted applications?

A self-hosted application can work in exactly the same way as the application hosted by the partner but in practice there are often some differences:

*   Application version (and hence API versions) can differ with the parter-hosted application, which can lead to different sync functionality
*   The API performance of the self-hosted application - and hence of the sync - could be below the standard we're used to for the partner-hosted application
*   The IT infrastructure of the self-hosted application can prevent us from taking certain actions to improve service
*   There is a shift of liability in allowing an end-user to specify the domain that needs to be connected to. When an end-user enters the wrong domain, authentication data or customer data will be sent to potentially malicious recipients.

<InfoBox>To establish a sync, PieSync matches contacts between your two apps based on the email address field.</InfoBox>

**However, If the email address field has multiple values, there are a few scenarios:**

1.  If the contact only existed in app A prior to the sync, we will sync the contact with the first email value to app B.  **E.g. below _email \[work\]_** 
2.  If the contact existed in app A and B prior to the sync, and app A has multiple values for the email and app B just a single value, we will choose the matching email address only. **E.g. below if app B has the _email \[home\]_** **only, then we will match/sync on that email value.** 
3.  If the contact existed in app A and B prior to the sync and both apps have multiple values for the email, we will match and map all values (where possible). **E.g. below _email \[work\]_** -  **_email \[work\] / email \[personal\] -  email \[personal\]._** **etc.**

## Activating the sync for the first time

If you set up a new connection and start syncing for the first time then it can take a while before all the contacts are synced in between the two apps. The syncing time depends on which apps you are using and how many contacts you are syncing.

## Syncing new contacts and updates

Once your connection is active, our system checks for changes in the sync every 4-5 minutes. However if the change happens directly after our last check, it can take more than 4 minutes for us to check for changes.

\- a **huge new number of contacts** syncing within the same connection  
\- a **concurrent sync** is running for the same account

How long does it take to sync contacts or updates?

In short, no. **PieSync currently syncs data stored on CONTACTS or COMPANIES only.** 

Syncing _Deals, Tasks, Invoices, Opportunities, ..._ is not yet available as these are different objects/entities from a syncing perspective. We're working on this though.

## But I need this today!

Advanced CRM software like Salesforce, Pipedrive, Zoho, or HubSpot allow you to move data across objects. Bring over data from an opportunity onto the contact or company, so it can at least be used as a filter. We cannot exhaustively document how this works for all CRM's, but here's a couple of examples to inspire you.

#### Didn’t Salesforce already have a built-in connection with Outlook & Exchange?

Yes - Salesforce has developed the so-called [Lightning sync](https://help.salesforce.com/articleView?id=lightning_sync_admin_overview.htm&type=5). We'll be honest: in itself, Salesforce Lightning is a very complete syncing solution and covers the needs of a lot of businesses. If you're using it, you're not wrong. It does a full calendar sync, it syncs your contacts two-way, it's available out-of-the-box, and best of all it's included in your Salesforce subscription.

Furthermore, there's also [plugin](https://help.salesforce.com/articleView?id=app_for_outlook_overview.htm&type=5) which nests itself right into Outlook to give you a very native integration experience.

But if you are reading this article, there is probably still something missing to the Lightning sync.

#### So what's different about PieSync's Outlook connector for Salesforce?

At its core, PieSync strengthens the link between contacts databases**.** It's all that PieSync's been focused on for several years now. Our two-way sync engine [supports an ever-growing list of apps](https://www.piesync.com/connections). In fact, Salesforce & Outlook were among the first of the apps we released two-way sync support for.

Who should care about this sync? At PieSync, we've spoken to a lot of **lawyers**, **real estate agents, brokers**, ... their Outlook database is nicely structured and really a true goldmine of contacts. Their CRM though? Often underused and giant mess.

That's where PieSync helps. To take an organized Outlook database, to make the CRM just as organized. And keep it like that.

With PieSync, you get two main advantages over Salesforce's built-in sync:

*   A better configuration of how you send **new and existing Outlook contacts upstream into Salesforce**
*   An improved and complete configuration of the **field mapping**

<TipBox>Compared to the Lightning connector, PieSync offers unique abilities to configure the sync of Outlook contacts into Salesforce, and Salesforce contacts into Outlook. We'll list some configuration options down below.</TipBox>

PieSync comes with the ability to sync Outlook folders & categories to regular custom attributes on Salesforce leads & contacts. This makes our sync suitable to aid in new implementations of Salesforce if e.g. the contacts structure is already well structured in Outlook. Setting up the sync rules in PieSync is easy - it's by no means something only a Salesforce admin can pull off.

Mappings, i.e. how the data syncs between Outlook & Salesforce, is highly configurable too. This is not the case in Salesforce built-in sync. For instance, within PieSync you can have all information sync for contacts, but keep the "Notes" field private to your Outlook, instead of it being broadcast to the CRM for everyone to see.

#### Just to be clear: which contacts will be synced by PieSync?

PieSync provides a solution to **2-way sync** contacts you would find in Microsoft Outlook, specifically inside personal contacts folders. A personal Outlook Contacts Folder is meant...

*   for personal use
*   that easily syncs with your [smartphone](/help/faq/get-your-phone-contacts-in-sync/)
*   sync compatible for PieSync (read how to for [Outlook](/help/connector-apps/outlook-office365/) / [Exchange](/help/connector-apps/msexchange/))

#### Sounds great! How do I set up this sync?

If you haven't already, setting up a sync between Salesforce & Outlook is as easy [as following this link.](https://app.piesync.com/sync/salesforce/outlook) A one time operation involves authorizing both apps at this stage, which is super easy. A popup will open inside PieSync and you just log in to both platforms respectively. This brings you to the sync setup, where you can leave everything to its default settings, or really dial in some custom syncs.

The connection can be adjusted in several ways. The **default setting** of a sync is always a **2-way sync**. This means you allow PieSync to transfer changes you make to contacts in Salesforce as well as in Outlook. We recommend you keep this 2-way setting. However make sure you understand the two rules that you start off with by default.

*   All contacts in Outlook will go into Salesforce, _so that may include personal contacts_.
*   All contacts in Salesforce will go into Outlook, _so you're running the risk of making this sync very heavy depending on your database._

To avoid those unwanted scenarios, use the filters, or you can turn off any of these two rules if they don't fit your workflow. This quick video shows the various options:

#### What are filters & actions?

**Filters & actions** allow you to really dial in the sync settings. It brings more nuance to the sync, and also allows you to scope with laser precision which contacts should be part of the sync. For instance, consider the following example where contacts in an Outlook folder are matched up to an owner in Salesforce:

There is a toggle at the bottom of this rule meaning you can also consider the rule in the other way around. Depending on the owner in Salesforce, some contacts will be synced to Outlook, and others will be kept out of scope.

Here's another rule to prevent contacts from Outlook to sync into SF if they are just simple contacts. Yet if you fill out a company name for them, then and only then will they sync with Salesforce. Contacts that you already had in Salesforce will sync with their company names attached to them so they will also sync 2-way.

These IF-THEN rules are easy to create and the above were just examples. How will the data sync? Up to you to decide. You can validate the existing mappings, toggle them off or on, and include new fields.

In fact, while Zapier is not ideal to sync contacts two-way (or even one-way), it still is a good platform to move & prepare data inside of your apps, which makes your syncs better!

## Using Zapier for contact syncing: problematic

Connecting Salesforce & ActiveCampaign through Zapier can be challenging.

Both platforms contain actual rich contacts databases that ultimately need to run in tandem, and [Zapier cannot handle this properly](/help/faq/what-s-the-difference-between-piesync-and-zapier/). As contacts constantly evolve, zaps simply cannot keep up with the changes on either side.

Let’s consider a simple form of sales & marketing working together. There's two kinds of data flows here:

*   **AC -> SF.** Leads fill out an ActiveCampaign form, and you need to have that information in Salesforce.
*   **SF -> AC.** You have leads in Salesforce that need to receive a newsletter sent out via ActiveCampaign.

Zapier performs a 1-way sync, which can be helpful to push data from one app to another. So in other words, if you want to execute this integration, you'll need to set up 2 separate zaps that run in opposite directions.

On a more problematic note, however, because of how zaps work, you run the risk of overwriting existing data in Salesforce, or even create duplicates in your contact database. We'll visit an example later in this article.

Finally, Zapier just takes effect from the moment you set up those zaps. In other words, it may create those contacts in the future, but it leaves the existing data untouched.

## Limited in configuration

When you set up a zap, you have to choose a trigger. Those triggers are technically tied to one single ActiveCampaign list.

So with multiple forms, multiple lists,... already you may be forced into setting up multiple zaps. And as we’ve pointed out, it will ignore all previous form submissions and only start from the moment you set up this zap.

Actually building out the zap can be time consuming since it requires that you spell out the mapping in the configuration of your zap. Which field on the form corresponds to which field in Salesforce?

## Syncing through Zapier: doesn't work 2-way, overwrites data 1-way

Admittedly, when you exclusively collect fresh leads all the time, zaps may end up working well. After all, it’s simple one-way traffic from ActiveCampaign into Salesforce.

In our simple example, we also want contacts pushed from Salesforce into ActiveCampaign, so there’s increased chance of having identical contacts existing on both sides. That’s a risk because zaps are executed blindly - they don’t take into account that data may already exist.

That brings with it an ugly side effect to see some fields get overwritten as shown in the example below. Here’s Brian's contact sheet in Salesforce… And along comes new information from the webform in ActiveCampaign. It also includes some relevant information on Brian's marketing journey, as well as more details that he left on the form.

Relying on the 1-way zap from ActiveCampaign → Salesforce has your data in Salesforce run the risk of being overwritten or simply erased all together. In the above example, you had some address information - but now it’s gone! Zaps strictly execute what they are told; so when empty information needs to be carried over, it will carry over.

What about syncing data the other way? A 1-way zap from Salesforce → ActiveCampaign, for instance to subscribe Brian to the newsletter, would also see some information be lost with the sync. The phone number that Brian had left in his original contact form gets overwritten.

## Syncing through PieSync: a true 2-way sync

In contrast, a true 2-way sync with PieSync respects existing data, and makes it better on both sides. Two-way means the sync simultaneously reads & writes data in both directions. Any changes, whether they happen within a single field, or multiple fields at the same time, are all picked up by PieSync’s synchronization engine.

With PieSync, contact sheets are truly merged, resulting in 2 databases that are always up to date, and complete.

You would have an identical contact sheet for Brian on both sides. All the time.

## PieSync: How do you get started?

If you haven’t done so already, [setting up a new PieSync account is super easy.](http://app.piesync.com/sync/salesforce/activecampaign) After you’ve authorized both Salesforce and ActiveCampaign, you’ll be greeted by sync rules.

It’s through these rules that you define how you want your two databases to talk to one another. Here's a combination of rules that show off the 2-way sync between ActiveCampaign and Salesforce.

Contacts that are subscribed in ActiveCampaign will seamlessly sync with your Salesforce database. Not only will contacts be created, or kept in sync with existing data in SF, it will also update a critical attribute on those contacts inside Salesforce: the opt-in/opt-out switch. This registers whether or not your contact opted in for marketing.

Since you're using ActiveCampaign, you're probably not even using that value in Salesforce anyhow. But through PieSync, you can easily have ActiveCampaign control that toggle! You cannot exclusively store marketing preferences in your ActiveCampaign silo. They need to sync to Salesforce too. Here's the rule you need:

It's important to store marketing opt-in preferences on a CRM level too. Ever since [GDPR](/help/faq/piesync-and-gdpr/) came into play, you need to have access to one easy way to immediately unsubscribe a contact from any future correspondence. Here's a PieSync rule that will do exactly that:

How the data will be exchanged is not something to worry about: PieSync’s smart merge algorithms ensure no data gets lost in the sync. On the contrary, all the data is mutually enriched, leaving you in full control with [custom mappings](/help/features/new-customizable-field-mapping/).

Consider the following example where not only the standard contact fields are being exchanged, but several proprietary AC fields are being mapped with SF fields.

Once the sync runs, it will keep up with changes on both sides [every 5 minutes](/help/faq/how-long-does-it-take-to-sync-contacts-or-updates/).

Some Kustomer accounts only allow their users to log in by using their Google account. This is a good security practice, but unfortunately this causes issues when trying to create an access token for the Kustomer API as that can only be done using the Kustomer username and password...

In order to work around this limitation, an admin user would need to do the following:

1.  Enable the Kustomer login method again in your settings (this would need to be done by a user having admin permissions)

2.  Log out of your Kustomer account
3.  Request a new password on the Kustomer login screen

4.  When the new password is set, authenticate your Kustomer account on app.piesync.com.

## What is possible? 

### Contacts 

The beating heart of our syncing engine can help you with keeping your contact information in sync, at all times. 

Depending on the app you're using, you might see alternative names such as Audiences, Customers, Users, etc.
The basic principle is that we display the same name as the entity the app uses as its contact repository. 

In the example below, we are syncing contacts between HubSpot and QuickBooks. In this case, the respective contact repositories are called "Contacts" and "Customers":

### Leads

Similar to our contact sync, our engine is also able to sync the leads entity in your apps.

#### Some key take aways: 

- Some applications have a standalone Leads entity. PieSync is able to incorporate that in the sync. You can choose which contact type you wish to sync during the 3rd step of the configuration process, as shown in the example below for Microsoft Dynamics 365:

- It might be that your application doesn't have a leads entity, while you can see leads in your account. In such cases, the leads are stored within the Contacts section and distinguished by a particular field (e.g "Status"). We are able to incorporate those in the sync as well. 


### Companies

Also known as "Accounts" or "Organizations", this is the third entity that PieSync is able to sync. It does come with a nuance though.

- Our companies sync is only available for a limited number of applications. A full overview of the supported apps can be found at the bottom of [this page](https://www.piesync.com/help/faq/can-i-sync-company-account-information/ "Syncing Company / Account info").

- PieSync only offers a company to company sync. This means companies or accounts can't be synced to a contact entity. Doing so will result in the following error message: "The selected combination of entities cannot be synced"

- For some integrations, PieSync is able to expose Company related fields when syncing Contacts. This allows you to sync company related information on the contact level.

At this point, we focus on syncing your contact data. The entities listed above cannot be synced at the moment. However, this doesn't mean we won't support them in the future. On the contrary! Our developers are currently working on ways to implement some of these features as well.
