## What is the problem? 

Mailchimp does not allow emails to re-subscribe over the API once they have been deleted or unsubscribed. 

It means the email address was removed or unsubscribed from Mailchimp at a certain point in time. 
Mailchimp doesn't allow a contact to be re-subscribed through the API once it has been deleted or unsubscribed. 

## Solution

Manually add the contact in Mailchimp again. Once this has been done, it will be kept in sync, just like your other contacts.

## Default Field Mapping

Depending on the other app you're syncing with, you'll see a number of standard Dubb fields being mapped by default. For instance, in a connection with Google Contacts, the default field mapping looks like this:

## Customizable Field Mapping

For now, we <strong>don't support</strong> Dubb customizable contact fields. Therefore, you can only custom map any additional standard fields that aren't included in the default mapping yet. Bear in mind a mapping between two fields can only exist
  if the types of fields are compatible, and the particular compatibility will determine the direction of the mapping as well.

Currently, there are no Dubb integrations on the PieSync platform that support our [deletions sync](/help/features/syncing-deletions/).

### Syncing Unsubscribes

Currently, there are no Dubb integrations on the PieSync platform that support our [unsubscribes sync](/help/features/syncing-unsubscribes/).
You can create this behaviour by setting up filters & actions:

### Why are my contacts not syncing? Why is my sync not working? Why am I seeing duplicates?

These are questions you might have if you see anything unusual happen with your contacts or sync(s) and you're wondering 'why?' Our troubleshooting tips below can provide an answer to questions about commonly encountered events and might help you fix them.

## 1\. Do your contacts have an email address? Is [_Avoid Duplicates_](/help/features/avoid-duplicates/) enabled? 

The algorithm of PieSync is based on the allocation of an existing email address. **Contacts will only be synced if an email address is included**.  With some applications this setting is mandatory, with others you're able to determine yourself. When mandatory, you can always contact us, we just want to make sure you are aware of possible implications before doing so.

## 2. Are your contacts part of the rules (IF/THEN) you have configured?

Through PieSync you can and you should tweak the sync so that not only contacts get synced, but you also respect the segmentation, tags, groups, categories, custom attributes, subscription status, ... of the apps that the contacts live in. In a PieSync [rule](/help/features/multiple-rules/), you can choose to add a filter, and add actions to syncs. 

**It’s crucial to know the distinction between adding additional filters (IF) within a rule (AND) or creating a completely new rule per filter (IF).**

For each filter you add within a rule, you establish an extra **requirement**. A contact will only be synced when it fulfills **ALL** of the requirements. In the example below, a contact needs to have the birthday equal 10/20/2020 **and** is not starred **and** company equals PieSync in order for it to be synced.

Creating separate rules for each filter allows you to sync contacts that are in **ANY** of the filters (IF) you choose rather than having to be present in **ALL** before it will sync.

## 3. Does PieSync still have access to your app-accounts? _(Access Revoked/Authentication Failed)_?

Due to long inactivity, changes in your login details or changes in the API restrictions, it might happen that PieSync loses access to your applications. 

Rauthenticate your account via the **red banner**, visible on your configuration page. 

1.  Log in on the [**PieSync platform**](https://app.piesync.com/signin)
2.  Click the **"connections" tab** and access your connection
3.  Click the **configuration** button at the top right of the page.

## 4. Do your contacts meet the app-requirements?

Whether or not a contact is being kept in sync between two applications can also be dependent on the requirements of the applications itself. 

The example below shows a contact in _Capsule CRM_ which can only be created after providing a first or last name. Therefore, a contact will not be synced if this requirement is not met. Another example, for instance: a contact in HubSpot be created with only an email address. In a connection with Capsule, this contact will not be synced to Capsule until the first or last name is added there first.

## 5. Am I trying to sync CONTACT/LEADS information?

We only sync **contact & leads** information. 

Depending on the apps you have connected, you might be looking for data that you believe to be part of the contacts in that app. However, it might actually be part of a different entity we don't sync (just) yet. In the example below, we only sync **People & Leads.**

## 6. Is there a third party or native integration _in parallel with PieSync_ active?

Before activating PieSync, you want to make sure there is no other native or third-party integration **running in parallel**. Some applications come with their own integrations. Other/parallel integration(s) will also have access to your data and the ability to manipulate which could cause large numbers of duplicates & loops. That's why we ask you to use PieSync and nothing else to keep your data in sync between two apps.

## 7. Did you make an adjustment to a field that is mapped?

It's important to check the default field mappings between a connection. If you update a contact field in application A and you notice it's not syncing to application B, this field might not be part of the default mappings. In some cases, this can be solved by adding a [custom field mapping](/help/features/new-customizable-field-mapping/).  

## 8. Case sensitivity

The screenshot below shows an example of a rule to create segmentation based on the Company Name.   

The value of these fields are **case sensitive**. This means that contacts with the allocated "**p**ie**s**ync" name in QuickBooks will **NOT** sync.

#### Make sure the distinction between upper-and-lower cases is correct!

## How to sync Company or Account information

1.  When setting up a new connection, we distinguish 4 steps. The third step allows you to choose your contact type.

2.  You are able to select the 'Companies' entity on both sides. (eg. Zendesk Sell & HubSpot)

## Important remarks

__2.__ This sync will **match your records based on Company name or the email address, without precedence.**

<InfoBox>This is different with a Contacts or Leads sync. In these cases, we will solely use the email address as identifier to [avoid duplicates](/help/features/avoid-duplicates/).</InfoBox>

This implies the importance of a preliminary check to make sure your company records contain the correct names.

<TipBox>If the company record in app A states "PieSync Inc" and in app B "PieSync", this will result in a duplicate record.</TipBox>

<WarningBox> For __HubSpot, Insightly, Nimble, Outreach, Copper, Salesloft, Vtiger and Zendesk__, we can allow matching on the company domain as well. For these apps, records will be matched based on Company name or the email address or Company domain, without precedence. If one of these items is the same, we’ll match the companies. Note that, we’ll also match two companies called “PieSync” even if their domains are different.</WarningBox>

__3.__ This sync is restricted to Company information, without keeping the relationship between Contacts.

__4.__ Even in a contact-to-contact sync, you can still fetch Company information.

## Pro tip #1: Hubspot on your phone

The [Hubspot mobile app](https://www.hubspot.com/products/mobile) is great and does a fine job at helping you navigate Hubspot when you are on the go. But the app does not continuously sync new contacts back & forth to the contact clouds that you hold dear... and it's those contact repositories that actually make sure your phone functions properly as a phone! 

When Hubspot leads & customers are not registered in your phone's contact list, your smartphone can't recognize you who's calling you. So that's why it's important to have Hubspot sync to Google, Outlook, or Icloud: to get true caller ID !

An example: when **a contact in HubSpot reaches a lead score greater than 5, then and only then sync the contact to the CRM**. This rule includes updating a custom field in Pipedrive I created to store the lead source. This helps to set up a separate view in Pipedrive for the sales staff to follow up on new leads and claim ownership of them. In the meantime, all cold leads stay in Hubspot, and are not polluting the CRM.

## Pro tip #3: Lifecycle stage automation

Hubspot gives marketeers true understanding of their audience and the impact of their actions... but it can only be so relevant if the data is there to back up the statements. The [lifecycle stage](https://knowledge.hubspot.com/contacts-user-guide-v2/how-to-use-lifecycle-stages) is an immensely important segmentation device for marketeers. 

Among many other insights, it helps understand the handoff between marketing and sales and how long it takes for a stranger to become a customer. But what if the deal process is being worked on in a different tool than Hubspot? Enter PieSync to sync across that information in real time, all the time.

 Have any open deals on a contact? Lifecycle stage goes to opportunity, as simply set by this rule in PieSync:

When you actually close the deal, that means that contact should be recognized as a customer from here on out. This way marketing metrics are truly correct since they take information straight from the CRM, the true source :

## Pro tip #4: Help in  GDPR compliance

In early 2018, Hubspot added a GDPR-like attribute to your dataset in Hubspot called "Legal basis for processing data". [This separate knowledge base article](/help/want-to-learn-more/gdpr-assistance-through-hubspot-pie-sync/), including a video, let's you in on some insider tips on how to leverage this new attribute through PieSync.

This rule also includes toggling on a custom checkbox that I created in Hubspot so that from within my Hubspot environment, I can easily plot whoever's data is present in which tool. 

## Pro tip #5: Opt in / Opt out & communication preferences

Chances are Hubspot is not the only app through which you foresee your customer communication:

*   a separate app for those individual transactional e-mails
*   your billing app also sends out e-mails
*   a mobile text app sends promotional sms's
*   _that one e-mailing app that your colleague would not give up_ when you introduced Hubspot in the business

Separate apps will all succeed at reaching out to your audience, but as long as they are a siloed app, they cannot keep  a single record of your customers communication preferences. When someone opts out from a newsletter through the unsubscribe link in the footer of an e-mail, it is still just stored inside that one e-mail marketing app that was responsible for this very newsletter.

Keeping [GDPR](https://www.eugdpr.org/) in mind, syncing & storing opt-out preference on a centralized level is a must. If a customer unsubscribes in Mailchimp, that should trickle down into being unsubscribed for marketing in general. Hubspot is the ideal app to manage how you treat your customer across his or her entire journey. PieSync can help you in automating this, like this rule where being opted out in Hubspot has an effect on Hubspot, but also the other way around.

## Pro tip #6: Sync website analytics

You're able to sync HubSpot's analytics to your CRM through [PieSync's customizable field mapping.](/help/features/new-customizable-field-mapping/) First, create the custom fields you need within your CRM (we use Zoho as an example). Include fields such as when did they last visit your website, and what was the last marketing e-mail they opened from you.

## Choose to sync two-way or one-way

In the dashboard of your connection, you are able to choose the direction of your sync.

*   In case you want to keep **your contacts tightly in sync between two apps**, we recommend a **two-way sync**. Any change or update you make to a synced contact ([we match on the email address](/help/faq/how-are-my-contact-databases-matched-to-establish-the-sync/)) or a newly created contact, will be reflected in both apps.  
*   **Depending on your use-case** you might want to set up a **one-way sync**. For example, you might only make changes in your CRM database and never in your Marketing tool. In cases like that, you could set up a one-way sync from your CRM to your Marketing tool.
*   Are you looking for an **easy way to populate your contacts** in a new app you've just started to use? Then a **one-way sync** could be useful as well.
*   When choosing the direction of your sync, always keep the [functionality of our 'Avoid Duplicates' feature](/help/features/avoid-duplicates/) in mind.

Getting started

Sync Direction

_You're slightly panicking. Why is the contact count that PieSync is showing not the same as the amount of contacts that you have in your app?_ _It's always possible that PieSync isn't syncing all your contacts. Let's go over some of the most frequent reasons why that might happen:_

## 1. Is the check box '[Avoid Duplicates](/help/features/avoid-duplicates/)' on?

If you have a lot of **contacts without an email address**, this might be the reason why PieSync's contact is lower than you expected.

This setting ensures that no duplicate contacts get created. It's is done by looking at the email address of each contact and using that to identify and match contacts across apps. This setting also disables the sync for contacts without an email address.

<TipBox>This setting also prevents duplicate contacts from being synced. If you have two contacts with the same email address in your app, then PieSync will only sync one of those.</TipBox>

## 2. Do you have any _sensitive_ [filters](/help/features/conditions-and-actions/)?

Some filters require you to fill in a text box. **These text boxes are very sensitive**.

For the filter to work properly, the values in the text box have to correspond 100% with the values in your app's field. A wrongly capitalised letter, an accidental typo or a railing space can cause the filter to deliver nothing.

## 3. Did you just start a new sync?

You might only be looking at the contacts PieSync has _created_, not at the ones PieSync actually put _in sync_. To see your overall contact contact count go to [your homepage](https://app.piesync.com/connections) or [billing page](https://app.piesync.com/team/billing).

Are you sure the sync is active? The sync might still be in progress or halted unexpectedly. You are able to confirm the sync status by going over to the [dashboard](/help/faq/different-dashboard-states/) of your sync. If the status is anything other than 'Synchronization Active', then the sync is not ready yet.

4.  ##### **Maybe your apps require certain fields to be filled?**
    

Check if your app has any **specific requirements to allow for contact creation**. Some apps require contacts to have some required fields to be populated in order for a contact to be created. In most cases it's either First Name and/or Last Name or Email Address.

Why PieSync's contact count might be lower than you expect

## What exactly does this mean?

PieSync is able to expose Company related fields when syncing Contacts. Let's have a look at the example below:

*   The orange section shows the Contact record, together with its Contact fields.
*   The green section shows the Company record, together with its Company fields.
*   The blue arrow reflects to the Company fields available on the contact record (= exposing Company related information).

## How can we distinguish between Contact and Company fields?

Company fields will always have a \[Company\] prefix.

## Limitations

<WarningBox>Syncing company related fields is limited to a one-way direction.</WarningBox>

1.  The one-way nature of these fields means that you are able to filter based on \[Company\] fields but can't update them via the actions.

2.  Echoing this behaviour to the custom mappings section, will result in an arrow pointing in one direction.

## Possible use cases

1.  Syncing contacts based on the Number Of Employees towards MailChimp in order to create a specific segmentation allows you to create specific marketing targets.

2.  Similar as above, Syncing contacts based on the Annual Revenue towards ActiveCampaign in order to create specific segmentation.

In short, no. **PieSync currently syncs data stored on CONTACTS or COMPANIES only.** 

Syncing _Deals, Tasks, Invoices, Opportunities, ..._ is not yet available as these are different objects/entities from a syncing perspective. We're working on this though.

## But I need this today!

Advanced CRM software like Salesforce, Pipedrive, Zoho, or HubSpot allow you to move data across objects. Bring over data from an opportunity onto the contact or company, so it can at least be used as a filter. We cannot exhaustively document how this works for all CRM's, but here's a couple of examples to inspire you.

## Zoho CRM and Google Contacts (G Suite)

Google Contacts and G Suite, don't have their own team contacts manager. This is a huge headache for administrators who want to be able to manage contacts on a team based level.  That's why businesses choose to use Zoho CRM in conjunction with Google Contacts or G Suite because it allows administrators to manage contacts on a team based level.

### Let's get started!

1.  In the PieSync dashboard, choose Google Contacts and Zoho CRM

2.  Authorize your apps.

3.  Configure your sync. A two-way real time sync requires two rules which are preconfigured for you.  They read "IF a contact is in Google Contacts THEN sync the contact between Google Contacts and Zoho CRM" and "IF a contact is in Zoho CRM THEN sync the contact between Google Contacts and Zoho CRM" this means all contacts in Google Contacts will be synced over to Zoho CRM and all contacts in Zoho CRM

A lot of people don't want to sync all contacts, or they want to segment the contacts into lists or groups. This can be done by configuring rules. For instance, you can filter your contacts based on their tags in Zoho CRM.  Perhaps you want to segment contacts who have the tag "Prospects" in Zoho CRM into a Group called "Prospects" in Google Contacts (you will need to create this group in Google Contacts if you don't already have one). Create a rule that reads "IF a contact is in Zoho CRM and has the tag "Prospects" THEN sync the contact between Google Contacts and Zoho CRM and add to Group "Prospects'" At the bottom of this rule activate the toggle which reads "Undo if tag does not equal Prospects, then remove from Group Prospects in Google Contacts". This will ensure your list is kept up to date.

Thanks to PieSync's [team](/help/account/teams/) features, you and your colleagues can sync contacts in Google Contacts or G Suite into Zoho CRM. Duplicates (where the same contact is synced multiple times) are prevented because PieSync first checks to see if no similar contacts have been synced based on email addresses.  

<TipBox>**What happens to deletions?** If you delete a contact in either app, PieSync will label the deleted contacts as "trash" in the other app so you can manually check and then delete them there too ([explanation video](/help/features/syncing-deletions/))</TipBox>

## Zoho CRM and HubSpot

Everyone likes to work with **the best of breed apps.** Marketeers love Hubspot's rich web analytics & nurturing methods. ### Let's get started!

1.  Start your sync through PieSync between HubSpot and [Z](/help/connector-apps/pipedrive/)oho CRM (here's [how](/help/features/getting-started/).)
2.  Then create this rule to make up this sync:   
    1) **IF a contact in HubSpot is greater than 5 THEN sync the contact to Zoho CRM and add Tag "MQL"**.  In essence this reads when a HubSpot contact's lead score goes over a certain threshold (in this case 5, but you can choose), then PieSync syncs this contact to Zoho CRM and adds a tag indicating that it is a marketing Qualified lead.

## Zoho CRM and MailChimp

### Sync Email Subscribers

One of the most popular PieSync integrations is keeping selected (marketing opted-in) Zoho CRM contacts in sync with a MailChimp list.

Businesses that use this sync notice an **increase in productivity** because they no longer have to manually keep email lists up to date in either app. It is also easier to implement email marketing campaigns knowing that all your **subscriber information is up to date.**

Correct subscriber information is paramount these days, with strict data protection laws such as **GDPR**. You don't want to be hit with a fine because you accidentally sent out a bunch of emails to subscribers who are no longer opted-in!

This sync helps you send out timely campaigns to interested subscribers in email marketing lists with the most up to date information.

Then it’s time to set up a two-way sync between Zoho CRM and MailChimp.

This reads that **all contacts in Zoho CRM will be synced to MailChimp and all contacts in MailChimp List (List Name) will be synced to Zoho CRM.** Because syncing ALL contacts between the two is usually not what we’re after, you can **add some nuance** to the sync.

### Filter Based on Tags

You can filter contacts using **Zoho CRM tags**. To do this add a filter under Zoho CRM on both rules.

I have added the additional filter that the contact has the tag “Newsletter” then it will be synced to MailChimp.

If someone subscribes to the MailChimp List (via a form on your website), their information will be synced to Zoho CRM and the tag "Newsletter" will be added.

### Sync based on opt-in and opt-out preferences

You can also keep your email lists sparkling clean by syncing based on your subscriber’s opt-out and opt-in preferences.

In the following example, customers who have not opted out are subscribed to a list:

*   If a customer unsubscribes from your mailing list, this information gets picked up by PieSync and is reflected in Zoho CRM.

By creating a sync between Zoho CRM and Quickbooks, colleagues in accounting can count on the addresses in Quickbooks to be correct and up to date.  It can also automatically send through customer information from Zoho CRM to Quickbooks when a deal is closed so that invoicing can begin. Through the power of syncing, your business has only **one address book** to maintain: Zoho CRM's... Or Quickbooks! Whichever you want.

<InfoBox>After closing a deal, sales staff typically identifies to whom invoices should be sent. They will create this contact in Zoho CRM. Through PieSync, the contacts of the invoice recipient can be synced to your accounting team in Quickbooks.

### Let's get started!

1.  **Authorise your apps** on the PieSync dashboard. 
2.  **Setup a two-way sync** between your Quickbooks and your Zoho CRM. 
3.  Set up a rule in PieSync to sync contacts from Zoho CRM to Quickbooks using tags such as "invoice recipient". This way, colleagues in accounting can rely on recipients' address information to be correctly pre-filled out in Quickbooks, no more double checking. **Smooth handover!**
4.  Maybe sales forgot to handover to accounting. No worries: even when accounting creates new contacts in their own invoice app, they will be synced to and **identified as invoice recipients** in Zoho CRM. So make sure you set up a rule that stipulates that PieSync sync contacts from Quickbooks to Zoho CRM if they carry a specific tag such as "invoice recipient"
5.  The cherry on top: Quickbooks can track whether a contact **still has open invoices  or not to their name.**  Since PieSync works 2-way, as soon as the invoice gets paid and is logged in Quickbooks, the tag disappears in Zoho CRM. Make sure you switch on the toggle next to "Undo" for this - this toggle is located under the rule on the PieSync dashboard.

⬅️  **Quickbooks to Zoho CRM.** When accounting creates **new** contacts in Quickbooks, they will be synced to Zoho CRM, along with the information about their payment status (handy for sales and customer care teams who are in contact with contacts). For this latter feature, you simply create a custom field in Zoho so it can store Quickbooks' information.

Using custom fields in Zoho CRM you can create more nuances:

PieSync Guidelines for Zoho CRM Users

A few considerations to take in reference to some of the free/native/other 3rd party integrations out there:

1.  Is it a [full 2-way sync](/help/features/sync-direction/)?  Put differently: is it capable of syncing your entire history of contacts, and not just trigger one-time updates to new contacts?

2.  Is it being as actively developed as PieSync?  (After all, it's not just the _core_, but the _only_ business our ever expanding [team](http://www.piesync.com/about/) is involved in.)

3.  Can it sync directly to [all the apps your team](/help/faq/which-connectors-do-you-support/) is using? What happens if your company wants to switch software?

4.  Does it offer the same level of [elaborate IF/THEN segmentation](/help/features/conditions-and-actions/)?

5.  Does it let you choose a [master app](/help/features/master-app/), in other words: can you control which app gets priority in case of conflicts?

6.  Can it map your app's [custom fields](/help/features/new-customizable-field-mapping/)?

7.  Can it handle contacts being [deleted](/help/features/syncing-deletions/)?

8.  What about contacts [unsubscribing](/help/features/syncing-unsubscribes/) from my marketing lists? 

9.  Can you seek [support](/help/faq/i-didn-t-find-the-answer-i-was-looking-for-here-how-can-i-get-in-touch/) specifically about the sync features, or is customer support aimed at the generic app functionalities?

10.  How transparent is the sync? Is there a [feedback log](/help/features/pie-sync-dashboard-logging/) to inform you on which contacts got synced and when?

Why prefer PieSync over other (native/free) integrations?

as you've probably noticed this field may not be available in the [Field Mapping](/help/features/new-default-field-mapping/) like any other field. Instead you will have to map this field in the connection [Rules](/help/features/multiple-rules/). See below on how to do so with **contact owners**:

On this image you can already see one reason why PieSync does not display these fields in the field mapping. The way ownership works can differ vastly per app — not to mention that not every app may have the same owners. In this case Copper distinguishes on name, while HubSpot on email address.

As such, we've found that the best way to enable you to sync your owners, is through the filters and action. The downside here is that you will have to create a separate rule for each owner that you want to keep in sync.

<InfoBox>The rule itself also does not guarantee that PieSync can sync it 2-way. Only when the "other way around toggle" appears below the rule will that be the case.</InfoBox>

When looking at the way the **Source** fields work, we find a similar situation. If you are not able to map the source field through the Field Mappings, you can try to do so through the Rules:

The Source field often does exist in the Field Mapping, but connecting it to another source field probably doesn't work. That's because both or one of these fields is a dropdown field. PieSync is not able to see which values should be mapped to one another and will require you to do so on its behalf.

##### What if this solution does not work for you?

In that case, you are either bumping against a limitation of the API of one of your apps or against a limitation of PieSync. Feel free to reach out to support@piesync.com to have us investigate it and see if there's something another workaround.
